How do I book a venue?

What do your venues cost?

Each event and booking we facilitate is bespoke. Once we have received your completed enquiry form, we will be able to guide you on initial pricing.

What if I have to cancel my booking? Will I get a refund?

Each event type has its own cancellation policy depending on the risk involved. To find out more please complete an enquiry form and our team will get in touch. 

Are there special rates for charities?

Please submit your NGO/NPO registration number with your application and we will be in touch to discuss how we can work together

Will CECO organise all the security and catering for my event?

Yes, the University has agreements in place with several service providers for specific venues. This includes Security, cleaning and medical services. For more information, please complete the enquiry form and we will get in touch.

What if I am unhappy with the service or price?

Please raise any concerns in writing to events@sun.ac.za and this will be handled with the utmost speed and confidentiality with management.

Why does my Quote say “Factory 209”?

CECO uses Factory 209 as a legal entity so all contracts and quotes etc. will come from Factory 209. Nothing to worry about!

What is the fastest I can book a venue?

We can help you within 48 hours of your booking depending on the complexity and type of the event.!

How long will it take to get confirmation of my booking?

Anywhere form 48 hours to 10 working days depending on the type and complexity of your event and the venue you have requested. If your booking is for the following year it may take longer as CECO needs the academic calendar to be confirmed before we can confirm our bookings.

 

 

Must I submit a municipal application and can CECO help?

The nature and size of your event will determine whether or not an application is necessary. It is included in the booking of all sports venues and the CECO team can assist with any and all applications as needed.

Where can I find all the municipal application documents?

Your sales advisor will take you through the process step by step with all the documents needed. You can also access them here on the Stellenbosch Municipality

By when must I pay for the venue hire?

Payment for the hire is expected in full before the event date. To confirm you booking more than 6 months in advance or for a complex event a deposit will be required.

 

What is included in the venue hire fee?

We will send you a detailed quote. All nfrastruct venues (theatres, cinemas, sports stadia etc) will come with all nfrastruct staff, security and medics required for the safe operation of the venue for your event. CECO can help with all your event staffing needs.
